Firstly some information on what makes us one of the best in the area to join . . . .

Our club is an FC Standard Chartered Club, read more on the FA's site here.  This includes all coaches:

  • Are FA Level 1 certified
  • First Aid Trained
  • Understand Safeguarding of children
  • Having a dedicated Welfare Officer and policies to support e.g. Anti-Bullying, Respect.
  • Eagle Park is privately owned land with 11 pitches with private parking and self catering onsite.

We are a Grassroots football club.  This means the following . . . .

"Grassroots Football means bringing together children and giving them access to football in their own environment whatever their age, gender, physical condition, skin colour, religion or ethnic origin. Grassroots Football also promotes socialising, sharing human values and promotes the pleasure of practising the marvellous sport of football."

We are currently receiving a high volume of requests to join Kewford Eagles.  Please fill in your details in the following form.  These details get collated and shared with the relevant managers once a month.  The Club's website has no control after that i.e. they either get in touch or you'll hear nothing.  I appreciate this doesn't sound ideal however we have about 60 teams at the club and, as previously mentioned above, there is a very high demand.

It is vital that all coaches, managers and volunteers working with Kewford Eagles have an up to date DBS certificate.

Step 1 - create an account on the Whole Game System if you don't already have one

  • Visit wholegame.thefa.com and click 'don't have an account - sign up' 
  • Follow the instructions, you will be sent a code (check your spam or junk if you can't see it)
  • You will need to provide your details (name, date of birth and a password) and tick the privacy policy box
  • You will be  given a FAN number

Step 2 - Contact the Welfare Officer to let them you know you wish to apply for a DBS

  • You will need to provide your FAN number and date of birth
  • Welfare Officer will add you as a 'club official' to the WGS

Step 3 - Log back into WGS

  • When the Welfare Officer has added your details to the WGS you will be able to log back into WGS and see a 'My DBS' button
  • Press the green button and this will trigger an email from 'online disclosures' 

Step 4 - Online Disclosures 

  • Within 48 hours you will receive an automated email from online disclosures with instructions
  • You will be able to select the documents you wish to submit for verification

Step 5 - verifying your documents

  • When you have completed the above steps, the club's Welfare Officer will need to see the original copies of your documents

  • The Welfare Officer will need to take photos of the documents. This is solely for the purpose of verifying the documents on the system and will be deleted immediately after processing

Step 6 - Paying the fee

  • When the Welfare Officer has verified your documents, you will be able to pay the £10 fee which you can claim back from your team expenses
  • You will receive an email from the Online Disclosures website, log back on using the same credentials that you used when first submitting your documents
  • If you are asked for the club PIN, it is 104622 (this is also on the email that you will have received from Online Disclosures)

IT'S EVERYONE’S RESPONSIBILITY 

Looking after the welfare of children playing football

If you feel that an adult connected to your league or club (e.g. a referee, coach or a volunteer) is mistreating someone under the age of 18, there are various confidential ways you can report this.

By ‘mistreating’, we mean behaving towards under 18's in a physical or verbal way you believe is threatening or makes the young person feel scared or bad.

Referring a concern can be done via your club, league or County FA – all will have a designated safeguarding officer (DSO). Alternatively, you can email us directly at This email address is being protected from spambots. You need JavaScript enabled to view it.

If the matter is urgent and you cannot contact your club or County FA designated safeguarding officer, you can call The NSPCC 24-hour helpline on 0808 800 5000 – or if it is an emergency because a child or children are at immediate risk, then call the police or children’s social care in your area.

If you are concerned that someone may be behaving inappropriately or seeking to groom a child in an online environment, then please use the CEOP reporting button that will take you directly to the team at the National Crime Agency, as well as informing your County FA or The FA via This email address is being protected from spambots. We want you to feel confident in football and to know that your child will have fun and be safe.

Kewford Eagles follows the FA guidance on safeguarding adults, our coaches are all DBS checked and all have completed the relevant FA training. 

Safeguarding is everyone’s responsibility. Non-action is not an option.

We will share your personal data between the Kewford Eagles Group as necessary to provide the products and services you have requested, to maintain a single customer view across the club and to fulfil any of the other purposes set out above.

We will share your data with relevant third parties for the purposes set out above.

Personal data may be shared with government authorities and/or law enforcement officials if required for the purposes above, if mandated by law or if required for the legal protection of our legitimate interests in compliance with applicable laws.

Personal data will also be shared with third party service providers, who will process it on behalf of Kewford Eagles for the purposes identified above. Such third parties include providers of website and app platform hosting services and marketing suppliers. Some of our suppliers may be separate data controllers, such as market research organisations, and may provide you with their own privacy notice where appropriate.

If at any point your information is transferred outside the Kewford Eagles website, and where this is to a stakeholder or vendor in a country that is not subject to an adequacy decision by the EU Commission, data will be adequately protected by EU Commission approved standard contractual clauses, an appropriate Privacy Shield certification or a vendor's Processor Binding Corporate Rules.

How long will you retain my data?

Where we process data in connection with your registration to use the Kewford Eagles website we do this for as long as you are an active user of the Kewford Eagles website.  We retain your information in respect of the Kewford Eagles website for two full seasons after your account has become inactive. We consider you to be an inactive user if you have not used the Kewford Eagles website in the last 12 months.  For the avoidance of doubt, any other data held by us, as a result of your other interactions with the Kewford Eagles website, may be held for a longer period.

Where we process personal data for marketing purposes or with your consent, we process the data until you ask us to stop and for a short period after this (to allow us to implement your requests).
